Please read the descriptions below of the volunteer opportunities that will be available.

All volunteers are required to wear the blue IC3 Polo shirt when serving. If you don’t already have one, you may purchase one below. 

Bookstore Assistant

Greet and assist customers with locating products; operate register; CD/DVD duplication

Available Shifts:

  • Tuesday -Thursday
    • 7:30am – 4:30pm
  • Tuesday Night
    • 6:30pm – 9:30pm
Conference Ambassadors/Greeters

Conference Ambassadors/Greeters responsibilities include, greeting Conference Attendees with a big, warm, and inviting smile; a positive and uplifting attitude; and is asked to be flexible with being reassigned to any area needed. Ambassadors/Greeters will provide an extension of coverage at entrances/exits, hallways, elevators, mall extender, 2nd floor hallways, crossovers, balcony entrances, information booths and other designated areas as assigned. Ambassadors/Greeters should be ready to HELP Attendees with finding classrooms and with basic IC3 App functionality. Ambassadors/Greeters will Walk with Attendees; (DO NOT point them) to their Class or requested locations. 

Conference Ambassadors will be positioned in common areas available to direct traffic flow between Break-out Sessions and to restricted eating areas; Bistro; multi-purpose center or Food Tents (if applicable); lavatories, registration areas, etc. and provide general conference information as needed.

Conference Ambassadors will remain on the floor until all Attendees have been directed to or are seated in the Main Cathedral or Multi-purpose Center for General Assembly for morning or the
classrooms sessions in the afternoon. Conference Ambassadors may use in-session and general assembly time to take breaks and refresh themselves in the Volunteer Hospitality Room or Bistro.

Conference Ambassadors must reposition back onto the floor 15 minutes before start or end-times of General Assembly and afternoon class sessions in preparation for transition to direct traffic flow.

Volunteers for MORNING SHIFT ONLY  should be in place from 7:30am-12:30pm.   

Afternoon Volunteers – arrival time is by 12:00pm.
Afternoon Volunteers (who plan to receive lunch) should arrive by 12:15pm and will be issued a lunch ticket to use at the Food Court Area or they may choose from the lunch provided in the Jump
Zone after all Attendees have been directed to their afternoon Sessions. Lunch Tickets will be issued by Lead Area Coordinators.

Volunteers will use the Jump Zone ONLY for the purpose of replenishment and rest periods.
Volunteers will keep noise down while in the Jump Zone during General Assembly and while classes are in Session.

Breakout Session Room Host

Responsible for providing assistance to guest speaker, as needed.

  • Assisting with materials, as needed
  • Acting as timekeeper to advise the speaker

Responsible for checking in registered class attendees and reminding attendees to complete class surveys

Available Shifts: Tuesday – Thursday 11:30am – 4:30pm

Logistic Team- Quality Control

Provide quality check of facility; conduct full walk-through and ensure all set-ups are as planned (classrooms, signage, trash receptacle, etc.).

Count inventory of supplies daily on the dock.

Receive inventory into the IC 3 conference as well as coordinate the distribution to specific areas.


  • Lift up to 20 lbs.
  • Fast pace walking to SET up for classroom or area due to change.

Logistic Team- Startup/Closing Preparation

Logistic Team- Setup Preparation

Provide set up of dining facility, class rooms, auditorium. 

Transport of equipment to classrooms.

Organize dining facility with Hospitality team.

Transport supplies to various locations throughout the campus.

Help hospatalitity team with dining facility needs (if needed).

Lunch Servers/Host

Serve and/or distribute lunch to conference attendees daily.

Greet guests and assist limited mobility/elderly diners as needed

Lunch Setup/Cleanup Crew

Responsible for set up/cleanup before and after lunch daily

Registration Team

All Registration Volunteers must possess the following Qualities:

Personable…Must enjoy interacting with people

Energetic…Able to walk constantly and stay on feet for hours at a time

Patience…Must smile, maintaining patience and calmness at all times

Technology…technical knowledge and skillful use of iPhones and iPads, knowledge and manipulation of Apps



  • Advanced Registration Check-In will be responsible for checking in Attendees with previous Registration Confirmation
  • Advanced Registration volunteers will distribute the Conference Gift and assist with Name Badge printing

Previous Experience Needed – 2 Years

Available Shifts: 

  • Monday, April 24
  • 12:00 pm – 5:00 pm



  • SMILE…You are the first face of the Conference…you set the tone
  • Escort ALL Attendees to the appropriate Registration area
  • Assist with general questions, directions and classroom locations
  • One Year Previous Experience Preferred

Shifts – Tuesday thru Thursday, April 25-27

  • 6:30 am – 11:30 am
  • 11:30 am – 3:30 pm



  • Registration volunteers will be responsible for checking in Attendees with previous Registration Confirmation 
  • Registration volunteers will distribute the Conference Gift
  • Registration volunteers will assist with Name Badge distribution 

Previous Experience Needed – 2 Years

Shifts – Tuesday thru Thursday, April 25-27

  • 6:30 am – 11:30 am
  • 11:30 am – 4:30 pm




  • Assembly of Conference Packet, including Attendee gift, flyer
    inserts and Name Badges
  • The process includes multi-steps/multiple days

Previous Experience Needed – NONE

Shifts – Tuesday thru Friday, April 11-14

  • 10:30 am – 3:30 pm

Technology Team

Assist with setup and backend support of registration system, Cvent prior to conference.

Assist with on-site Cvent/Attendee Hub/App support throughout the conference.

Troubleshoot onsite and check-in technical issues.

Skills Needed: Must be Tech-Savvy, Quick Learner and Able to work well under pressure.

Vendor Fair Assistant


  • Courteously remind vendors to adhere to mandatory vendor requirements (as needed), especially no food or drinks at vendor tables.  The full list of requirements and vendor table layout will be provided to you prior to the conference.   
  • Provide vendor set-up guidance (i.e., ensure table set-ups avoid encroachments & safety hazards); however, vendors are responsible for physically setting up their own exhibits/tables.
  • Direct attendees (traffic) toward Product & Service Vendor areas.
  • Offer assistance to limited mobility/elderly at vendor tables (if needed).
  • Be prepared to provide general information about the conference schedule, many times attendees and vendors will inquire about session locations and/or when sessions begin or end.

  • Vendor arrival & set up shift:  Monday April 24, 2023
    • Full day: 8:45am – 5pm
    • Half day: 8:45am – 12:30pm
    • Half day: 12:30pm – 5pm
  • Vendor conference shift:  April 25th – April 27th, 2023
    • Full day: 7:30am – 4:30pm
    • Half day: 7:30am – 12:30pm
    • Half day: 12:30pm – 4:30pm
    Volunteer's Hospitality Room Host

    Arrives each day by 7am to set-up and maintain Volunteer Hospitality Room (Jump Zone).

    Responsible for distributing Volunteer Badges and ensuring ALL Volunteers check-in at the start of shift. (May be asked to distribute IC3 Shirt pick-ups by Coordinator as needed). Must log
    each pickup on checklist as provided by Coordinator.

    Responsible for ensuring Volunteer Hospitality Room and tables remains clean and refreshed throughout the day (to include placing wipes or hand sanitizers) out. Room is picked up and tablets wiped down at the end of each day. (Housekeeping will be responsible for discarding

    Responsible for putting out bottled water, snacks, setup, volunteer lunch when it arrives; distribute help-aids for Volunteers (to include facial tissues, hand sanitizer, pens, etc.)

    Responsible for dispersing snacks to Area Leads where Volunteers cannot leave their
    locations; avoid over dispersing to ensure inventory lasts through all Conference dates.

    Review status of inventory with Volunteer Coordinator at end of each day for adequate supplies (especially water bottles).

    Serve as Liaison for Volunteer Coordinator via phone/text to communicate volunteer needs or any concerns while on the floor.

    ***Volunteers Hospitality Room Hosts will NOT be responsible for Volunteer’s personal items left in the Jump Zone throughout the day.
