Thank you for your interest in volunteering with the IC3 Church Conference! We’re thrilled about your enthusiasm and look forward to welcoming you to our team.

Volunteer registration will open soon. Before signing up, we invite you to explore the descriptions of our volunteer opportunities to find the best fit for your skills and interests.

Please note that all volunteers must be members of The Church Without Walls. If you’re not yet a member, we encourage you to join our church family before registering.

Additionally, all volunteers will also be required to wear the official blue IC3 polo. The IC3 polo will be available for purchase during volunteer registration, as it won’t be sold on-site during the conference.

Training dates will be announced soon. Attendance is mandatory for one of the sessions to ensure you’re fully prepared for your role.

Breakout Session Room Host

Responsible for providing assistance to guest speaker, as needed.

  • Assist with materials
  • Act as timekeeper to advise the speaker

Responsible for checking in registered class attendees and reminding attendees to complete class surveys

Skill set needed for this role:

  • Hospitality
  • Comfortable downloading/using apps on Apple or Android devices
  • Patience

Available Shifts: 

  • Tuesday, April 29rd – 11:00 am to 4:30 pm
  • Wednesday, April 30th – 11:00 am to 5:00 pm
  • Thursday, May 1st – 11:00 am to 4:30 pm
Conference Ambassadors

Conference Ambassadors include Greeters and Ushers. 

Conference Ambassadors will greet conference attendees with a warm, whimsical smile; exhibit courtesy, have a positive and inviting attitude, and be flexible with any area assignment. CAs provide extended coverage from entrances/exits, hallways, elevators, mall extenders, 2nd-floor crossover, balcony entrances, and information booths to other designated areas in the North and South buildings. CAs will be ready to always offer Attendees assistance with finding classrooms or other designated conference areas. 

(CAs should walk, (DO NOT) point Attendees to the location they are looking for). 

Conference Ambassadors will cover primary corridors or high-traffic areas to direct the flow of traffic between entrances, connectors, bistro/food court (especially during lunch), break-out sessions; lavatories (etc.), and should be prepared to provide general conference information. CAs should take breaks and refresh themselves as needed in the Volunteer Hospitality Room.

Conference Ambassadors will remain on the floor until all Attendees are in the Cathedral for Morning Worship/Story-time, during session breaks, when Attendees are transitioning from morning sessions to lunch, and transitioning from lunch to the afternoon breakout sessions. The primary eating area will be the Multipurpose Center. CAs should transition back on the floor for traffic control at least 10 minutes before the start or end of all sessions.

Conference Ambassadors arriving for the (FULL DAY and MORNING SHIFTS ONLY) will receive lunch tickets to eat at lunchtime. CAs arriving for the afternoon shifts should assist with transitioning Attendees from lunch to the breakout sessions. Lunch tickets will be issued to the afternoon CAs who want to eat after Attendees have been in the breakout sessions. 

Lunch Tickets will be issued by the Conference Ambassador Area Lead each day.

Conference Ambassadors MUST keep noise down while in the Volunteer Hospitality Room to avoid disrupting the breakout session in progress.

Logistical Support - Pre-Conference Preparation/Post-Conference Breakdown

Purpose: To support the conference with facility setup/breakdown, staging, lunch support, audio/visual/tech support for breakout sessions, parking lot management, and
miscellaneous support responsibilities.

Effective Logistical Support volunteers possess the following qualities:
Adaptable – Willing to respond in a changing environment with changing needs
Energetic — Able to walk constantly and stay on feet for hours at a time
Positive – Be pleasant to guests and other volunteers, maintaining patience, calmness, and a can-do attitude

Pre-Conference Preparation/Post-Conference Breakdown

  • Provide quality check of facility; conduct full walk-through and ensure all set-ups are as planned (classrooms, signage, trash receptacle, etc.).
  • Provide set up support of dining facilities and classrooms.
  • Set up tables for registration and vendors.
  • Quality Control inventory and transport of supplies on dock, as well as IC3 storage location.
  • Post-conference, restore the Cathedral, classrooms and the gymnasium to their original setting.
  • Lifting involved up to 20 lbs.

Logistical Support - Cathedral and Classroom Staging, Lunch Support

Purpose: To support the conference with facility setup/breakdown, staging, lunch support, audio/visual/tech support for breakout sessions, parking lot management, and miscellaneous support responsibilities.

Effective Logistical Support volunteers possess the following qualities:

Cathedral and Classroom Staging, Lunch Support

  • Refer to Daily Master Schedule details re: staging support to the Cathedral (Morning Worship, Story Time, Eavesdropping speakers) and afternoon breakout sessions.  
  • Prep for morning sessions the prior evening.
  • Maintain refrigerator daily with drinks and prep coolers for lunch periods. Maintain as necessary.
  • Transport items to and from IC3 Office to area of need.
  • May overlap with Parking Support, so feel free to sign up for both, if your schedule allows.
  • Some lifting involved in Cathedral staging, up to 50 lbs., but not everyone will need to do heavy lifting.

Purpose: To support the conference with facility setup/breakdown, staging, lunch support, audio/visual/tech support for breakout sessions, parking lot management, and miscellaneous support responsibilities.

Parking Lot Management

  • Place signage each morning of the conference.
  • Team of 8-12 volunteers provide directions to attendees each morning.
  • Retrieve signage each day at end of day sessions.

Lunch Servers/Host

Serve and/or distribute lunch to conference attendees daily.

Greet guests and assist limited mobility/elderly diners as needed

Lunch Setup/Cleanup Crew

Responsible for set up/cleanup before and after lunch daily

Photography
Responsible for taking candid and formal photos of the conference. Images are Property of IC3.
Photographer equipment needed.

Camera & Lenses Body DSLR or mirrorless, depending on preferences.

Technology…technical knowledge and skillful use of iPhones and iPads, knowledge and manipulation of Apps

CONFERENCE PACKET ASSEMBLY

DUTIES

  • Assembly of Conference Packet, including Attendee gift, flyer
    inserts and Name Badges
  • The process includes multi-steps/multiple days

ADVANCED REGISTRATION CHECK-IN VOLUNTEERS 

DUTIES 

  • Advanced Registration Check-In will be responsible for checking in Attendees with previous Registration Confirmation
  • Advanced Registration volunteers will distribute the Conference Gift and assist with Name Badge printing

Technology Team

Assist with setup and backend support of registration system, Cvent prior to conference.

Assist with on-site Cvent/Attendee Hub/App support throughout the conference.

Troubleshoot onsite and check-in technical issues.

Skills Needed: Must be Tech-Savvy, Quick Learner and Able to work well under pressure.

Vendor Fair Assistant

Responsibilities:

  • Courteously remind vendors to adhere to mandatory vendor requirements (as needed), especially no food or drinks at vendor tables.  The full list of requirements and vendor table layout will be provided to you prior to the conference.   
  • Provide vendor set-up guidance (i.e., ensure table set-ups avoid encroachments & safety hazards).
  • Direct attendees (traffic) toward Product & Service Vendor Fair areas.
  • Assist vendors and attendees by answering general conference questions and providing directions to classrooms & other areas.

  • Vendor arrival & set up shift: Monday April 28th
    • Full day: 8:45am – 5pm
    • Half day: 8:45am – 12:30pm
    • Half day: 12:30pm – 5pm
